PPMO offers services in the following areas

Change management is the methods and manners in which an organization documents and implements change of internal and workflows. The change management process mitigates risk through documentation of changes to IT infrastructure, managed systems, processes, and IT related life cycles.

Our Process

Change requests are presented every Tuesday for a start date of that Thursday for 9:30 p.m. over the next seven days. All changes require the review and approval of the Information Technology Change Advisory Board (CAB) prior to implementation.

Change Requests

Change Requests involve the addition, modification, or removal of any element that could impact an existing service, including adjustment of architectures, processes, tools, metrics, IT services.

Projects

Projects are structured efforts to deliver a new product or service. Each project has defined start and end dates, scope, and allocated resources. Projects may be small and department-specific or span multiple departments, colleges, and divisions.

IT Projects

Projects requiring IT resources must be reviewed and approved by the CAB. This review ensures that resources are properly allocated, and deadlines are managed alongside existing commitments. Each project is unique and may involve multiple IT departments.

IT will not commit to any project until the review process is complete, roles and responsibilities are clearly defined, and a project charter is in place. 

At Cal Poly Pomona, business process management is an interdisciplinary approach to identifying, designing, executing, documenting, measuring, monitoring, and improving business processes to achieve consistent results aligned with the university’s strategic goals.

The Business Process Lifecycle

The business process lifecycle is a cyclical process that promotes continuous improvement. The core components of the business process lifecycle are as follows:

  • Design: Identify existing processes.
  • Model: Visualize the model.
  • Execute: Run the process in a testing and production.
  • Monitor: Develop Key Performance Indicators (KPI`s) and monitor execution.
  • Optimize: Continuous refinement.

Business Process Modeling

The documentation or mapping of steps in a workflow to achieve a visual representation of all activities within the entire process. The workflow is then analyzed to identify improvements.

Engages in the budgeting and strategic planning, coordination, policy recommendations, and development of programs for the division and the university.

Resources

IT Communications Management includes:

  • Identifying stakeholder needs.
  • Developing objectives and messages.
  • Developing a Communications Plan that:
    • Identifies the audience(s).
    • Relays information through appropriate communications mediums.
    • Defines deadlines.
